Cancellation and Refund Policy

Effective Date: 06-July-2026. This policy explains when you can cancel, reschedule, or request a refund for WorkNest memberships, meeting room bookings, virtual office plans, and related services.

At WorkNest, we believe in transparent pricing and fair terms. Please read this policy carefully before making a payment. This policy should be read together with our Terms of Service.

1. General Policy

All payments made toward coworking memberships, dedicated desks, hot desks, private cabins, meeting rooms, and virtual office plans are considered final and non-refundable, except in the specific cases described in this policy.

Bookings and service fees are confirmed upon receipt of payment. Once confirmed, they cannot be reversed unless approved by WorkNest in writing. We encourage you to book a free tour and review your plan terms carefully before paying.

2. Monthly and Annual Memberships

  • Monthly memberships are billed in advance at the time of booking, along with a refundable security deposit where applicable.
  • Fees for the current billing month are non-refundable once the month has started, including cases of early exit or unused days.
  • To discontinue a monthly plan, members must give advance notice as defined in their membership agreement, typically 30 days. The membership then ends at the close of the notice period.
  • Annual plans may have separate exit terms, which are shared in writing before signup.
  • Upgrades and downgrades are allowed with advance notice, subject to availability. Any price difference is adjusted in the next billing cycle.

3. Security Deposit

A refundable security deposit applies to most desk and cabin plans. The exact amount is confirmed before signup.

On termination of your membership, the deposit is refunded in full, provided:

  • All outstanding dues and invoices are cleared.
  • There is no damage to WorkNest property, furniture, or equipment.
  • Access cards, keys, and lockers are returned.
  • Any deductions for damages or unpaid dues will be shared with you in writing along with the settlement.
  • Approved deposit refunds are processed within 7 to 14 working days of the final settlement.

4. Hot Desk and Day Pass Bookings

  • Day passes and hot desk bookings are non-refundable once booked.
  • A booked day pass may be rescheduled to another date with prior notice of at least 24 hours, subject to availability.
  • No-shows and same-day cancellations are not eligible for a refund or reschedule.

5. Meeting Room Bookings

  • Meeting room bookings can be rescheduled with prior notice, subject to availability.
  • Refunds are not issued for cancellations, no-shows, or unused booking time.
  • If WorkNest cancels a confirmed meeting room booking for operational reasons, you will receive a full refund or a credit for a future booking, your choice.

6. Virtual Office Plans

  • Virtual office fees are billed in advance and are non-refundable once the service period begins, since the address and compliance services are activated immediately.
  • If a virtual office application cannot be processed due to a compliance or documentation issue on WorkNest's side, the amount paid will be refunded in full.
  • Cancellation of a virtual office plan requires advance notice as per the agreement, and members must update their registered address with the relevant authorities before the plan ends.

7. Advance Payments and Credits

Advance payments or deposits made toward any plan or booking are non-refundable under normal circumstances. However, at WorkNest's discretion, such amounts may be credited toward future invoices or bookings instead of being forfeited. Credit decisions are communicated in writing and are valid for the period stated in the communication.

8. When Refunds Are Applicable

Refunds are issued only in the following verified cases:

  • Duplicate payment: You were charged more than once for the same booking or invoice.
  • Transaction error: A genuine payment gateway or billing error resulted in an incorrect charge.
  • Service not delivered: A confirmed booking could not be honoured due to a fault on WorkNest's side.
  • Security deposit settlement: As described in Section 3.

To request a refund, share your payment receipt, transaction ID, and booking details with our team. Keeping your transaction proof handy helps us verify and process your request faster.

9. Refund Timelines and Method

Once a refund request is reviewed and approved by our accounts team, the refund is initiated promptly.

Approved refunds are credited to the original mode of payment within 7 to 10 working days from the date of confirmation.

Actual credit timelines may vary depending on your bank or payment gateway. WorkNest is not responsible for delays caused by banking institutions after the refund has been initiated.

10. Cancellations by WorkNest

In rare cases, WorkNest may need to cancel or modify a booking due to maintenance, safety concerns, or events beyond our control. In such cases, we will offer you a suitable alternative, a credit for future use, or a full refund of the affected amount.

11. How to Request a Cancellation or Refund

All cancellation and refund requests must be submitted formally through any of the following channels:

Please include your name, registered phone number, plan or booking details, and payment reference in your request. Our team responds within 30 minutes during business hours (Monday to Saturday, 9:30 AM to 7:00 PM).

12. Changes to This Policy

We may update this Cancellation and Refund Policy from time to time. Updates will be posted on this page with a revised Effective Date. The policy in effect at the time of your payment applies to that transaction.
